This policy explains how Lampton Education ("Lampton Education", "we", "us") collects and uses your personal data when you use our website and our student guidance and application services. We are the data controller for this information.
1. The information we collect
Depending on how you use our services, we may collect:
- Contact details: your name, email address, phone number and home address.
- Application details: your date of birth, nationality, the course and intake you are interested in, your qualifications, your personal statement and notes from our conversations with you.
- Identity and eligibility information: your passport or national ID number and a copy of the document, your National Insurance number, your share code and immigration status evidence, proof of address and your Student Finance customer reference number.
- Enrolment information: the institution and course you enrol on, your start date and your enrolment status.
- Technical information: your IP address and, only if you agree, analytics data about how you use our website.
Some information you share, for example about a disability or health condition so that you can receive support, may be special category data. We only process it with your explicit consent or where the law allows.
2. How we use your information
- To respond to your enquiries and give you advice about courses.
- To prepare, check and submit your application to the institutions you choose.
- To help you apply for Student Finance, where you ask us to.
- To confirm your identity and right to study in the UK, as institutions are required to do.
- To keep a record of students we have supported and enrolled, including for reporting to our partner institutions.
- To keep our website secure and prevent fraud and spam.
- To improve our website, if you consent to analytics cookies.
3. Our lawful bases
We rely on: taking steps at your request before entering into a contract and performing our agreement with you when we provide our services; legal obligation where we must keep records or verify information; legitimate interests in running and protecting our business, where these are not overridden by your rights; and consent for optional analytics cookies and for any special category data you choose to share. You can withdraw consent at any time.
4. Who we share it with
We share your information only when necessary:
- With the institutions you apply to, so they can assess your application and enrol you.
- With Student Finance England or other funding bodies, when you ask us to help with funding.
- With trusted service providers who host our website and email, under contracts that require them to protect your data.
- With regulators, law enforcement or courts where we are legally required to.
We never sell your personal data.
5. How we protect it
Documents you upload are stored in private storage that cannot be reached from the public internet and can only be opened by authorised staff who are signed in. Passport numbers, National Insurance numbers, share codes and Student Finance references are encrypted in our database. Our website uses HTTPS throughout. Please do not send identity documents to us by ordinary email.
6. International transfers
If any of our service providers process data outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.
7. How long we keep it
Enquiries that do not lead to an application are kept for up to 24 months. Application records and documents for students who do not enrol are kept for up to 24 months after the intake date. Records of enrolled students are kept for up to six years after the end of the relevant academic year, to meet contractual, financial and audit requirements. After these periods, data is securely deleted.
8. Your rights
Under UK data protection law you have the right to access your data, to have it corrected, to have it erased, to restrict or object to its processing, to data portability, and to withdraw consent. To exercise any of these rights, email info@lamptonedu.co.uk. We will respond within one month.
9. Complaints
If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
